Small business tax preparation for growing San Diego County companies

Small business tax preparation gets complicated long before a company feels big. The first employee, the first contractor paid more than the reporting threshold, an LLC formed online, a vehicle bought late in December: each one adds a filing or an election that is easy to miss. Scalesight prepares small business tax returns with the same CPA review we give larger clients.

We also look at whether your current structure still fits. A sole proprietorship or single-member LLC reporting on Schedule C may be paying more self-employment tax than necessary once profits climb, and an S corporation election can make sense at the right income level. We run the numbers instead of guessing.

What small business tax preparation includes

  • Schedule C returns for sole proprietors and single-member LLCs
  • LLC, S corporation and partnership tax returns as you grow
  • California Form 568 and the $800 annual LLC tax
  • Quarterly federal and California estimated tax calculations
  • Forms 1099-NEC for contractors, due to recipients and the IRS by January 31
  • Review of vehicle, home office and equipment deductions
  • Entity and S corporation election analysis
  • Year-round access for questions, not just in tax season

Owners we help most

  • Owners with profitable businesses that recently passed $1M in revenue
  • Founders who formed an LLC and are unsure how it is taxed
  • Businesses with a mix of employees and contractors
  • Owners who want bookkeeping and tax filing handled together

California details small businesses often miss

A single-member LLC is ignored for federal income tax purposes but not by California. It still files Form 568 and pays the $800 annual tax every year it is registered or doing business in the state, even with little or no income. LLCs also file a Statement of Information with the Secretary of State every two years.

California estimated taxes follow a front-loaded schedule for individuals: 30 percent in April, 40 percent in June, nothing in September and 30 percent in January. Owners who copy the federal schedule often underpay in the first half of the year. We set up both schedules so the payments match.

Small Business Tax Preparation questions

How much does small business tax preparation cost?

It depends on the entity type, the condition of the books and the number of states involved. We quote a fixed fee after reviewing your prior return and accounting file so you know the cost up front.

Should my LLC elect to be taxed as an S corporation?

Possibly. An S corporation election can reduce self-employment tax once profits are high enough to pay yourself a reasonable salary and still have meaningful distributions. California's 1.5 percent S corporation tax, payroll costs and added filings all go into the comparison, so we model it with your numbers.

Do I need to send 1099s to my contractors?

Generally yes, if you paid an unincorporated contractor at or above the federal reporting threshold for services during the year. Forms 1099-NEC are due to recipients and the IRS by January 31. We can collect W-9s and file them for you.

Can one CPA handle my business and personal taxes?

Yes, and for most owners it is simpler. Your business income flows to your personal return, so preparing both together keeps estimated payments, K-1s and deductions consistent.
